Recognized Student Groups

Plan an Event with CECS!

The University of Toronto is home to hundreds of student groups across all three campuses—academic societies, cultural clubs, sports teams, arts collectives, advocacy groups, and more.

At St. George campus, Campus Events & Conference Services works with Recognized Student Groups to help book spaces where you can host meetings, performances, socials, and other activities.

To apply for or renew recognition, or update your officers, visit the Student Organization Portal.

How to Book a Space

  • Recognized Student Groups can book centrally shared spaces free of charge through the Student Group Booking Portal.
  • Only Administrative Officers listed on your group’s profile in the Student Organization Portal can make a booking.
  • For outdoor spaces, email campusevents@utoronto.ca.
  • Submit requests at least 6 business days in advance. Late submissions may not be accommodated.

Booking Hours

  • Monday – Thursday: 8:30 AM – 9:30 PM
  • Friday: 8:30 AM – 9:00 PM
  • Saturday & Sunday: 9:00 AM – 5:00 PM

Costs & Responsibilities

  • Free to book: Recognized Student Groups are not charged for using space.
  • Extra costs may apply if your event requires:
    • Overtime caretaking
    • Campus moving services
    • Security support
  • Food & drink: Please discuss your requirements with CECS directly and review the Safe Food Handling Guidelines.

Audio-Visual (A/V) Support

  • Request A/V when submitting your room booking.
  • Invoices are sent after the event.
  • 50% subsidy available for basic A/V needs.
  • Sample A/V pricing:
    • Mon–Fri (8 am – 9 pm): $26.00 +tax per room/date
    • Sat–Sun (8 am – 9 pm): $104.00+tax (4-hr min.) additional hours at $26.00/hr+tax per room/date

FAQs

Who can book?

Only Administrative Officers listed in the Student Organization Portal.

How much notice is needed?

At least 6 business days.

How do I pay invoices?

Campus Events issues invoices after the event; payment can be made online.

What if the space I want isn’t in the portal?

Outdoor space: email campusevents@utoronto.ca

Other venues: check with Hart House, UTSU Student Commons, or your college/faculty/department, each has their own policies.

How do I become a Recognized Student Group?

Apply, renew, or update officer listings on the Student Organization Portal

I’m getting a login error (“invalid credentials”).

Make sure your group’s contact info is current in the Student Organization Portal.
